How to stop missing calls when you're on the tools

Short answer: you can't answer more calls, you're working. Stop trying. The fix is making sure every missed call gets an instant reply that holds the customer until the job is booked. Below are the five ways businesses handle this, what each really costs, and where each one falls over.

Real talk: the advice tradies usually get about missed calls is "answer your phone more." It's advice written by people who've never been elbow-deep in a wall cavity at 2pm. You physically cannot answer, and every hour you spend feeling guilty about it is an hour better spent fixing the actual problem, which is what happens in the thirty seconds after the call rings out.

Option 1: try harder

The default plan, and it fails on contact with reality. Downing tools mid-job is unsafe, it's rude to the customer standing in front of you, and half the time your hands are full anyway. If willpower fixed this, nobody would have the problem.

Option 2: voicemail

Option 3: hire someone

Worth saying upfront: a good admin person is a genuinely good hire once you're big enough, and nothing I sell replaces a great one. But run the numbers. You're paying tens of thousands a year to cover business hours only, and your callers don't keep business hours. The 8pm enquiry researching hot water systems from the couch, the Sunday morning emergency, the public holiday callout: your hire is at home for all of them, exactly like you.

Option 4: a traditional answering service

A call centre answers as your business and takes a message. Better than voicemail, and a step up from nothing. Here's where I'd push back though: a message is not a booking. The customer is still waiting, you're still the bottleneck, and now you're making call-backs from the ute at dusk to people who booked someone else at lunch. You've paid to move the problem three hours down the road.

Option 5: instant text back, with booking
