How much does a missed call cost a tradie? (With the maths.)

Short answer: for most trade businesses, missed calls quietly cost somewhere between $10,000 and $100,000 a year. The formula to find your number takes two minutes and three inputs, and I'd put money on the result being worse than you think. The maths is below.

Every tradie I've ever worked with can quote their hourly rate to the dollar. Almost none of them can tell me what a missed call costs. Funny thing is, it's usually the bigger number.

Before I built systems for other businesses, I was a lawyer, and law firms bill in six-minute units. You get properly wired to count what time costs. When we applied that same counting to our own gym's phone, the missed-call number was embarrassing enough that we built a whole system to fix it. That system is now what we sell, but the maths came first, so let's do yours.

The formula

Three inputs. You already know all of them roughly, and your phone's missed-call log has the first one exactly.

  • Missed calls per week. Open your log and count a normal week. Don't guess this one. Everyone guesses low.
  • How many would have booked. Be conservative and call it 1 in 5. Some weeks it's more.
  • Your average job value. What a typical job is actually worth to you.

Missed calls per week × booking rate × average job value × 52 = your yearly cost.

Worked example

A plumber missing 5 calls a week, 1 in 5 would have booked, average job $500:

5 × 0.2 × $500 × 52 = $26,000 a year.

And that's using single-job values. If your work includes the occasional bathroom reno or full rewire, one missed call can be a five-figure job on its own, which makes the averages above look polite.

The multiplier everyone forgets

Here's the thing though: the formula only counts the first job. A customer isn't a job, a customer is every job they ever give you plus everyone they refer. We saw this clearly at our gym. When we fixed response and follow-up, 275 leads became 80 new clients, and each of those clients pays every week, not once. That's what turned it into more than $4,000 a week in extra revenue, over $200k a year.

A trade works the same way, just lumpier. The homeowner whose hot water you fixed calls you first for the reno, and tells the neighbours, and the neighbours have hot water systems too. Miss the first call and you don't lose $500. You lose the whole thread.

One more twist of the knife, because the lawyer in me insists on completeness: you paid to make that phone ring. Ads, the website, the reviews, the lettering on the ute. Every missed call also torches a slice of the marketing budget that generated it. You're paying for the lead and then paying again by losing it.

Why "I'll call them back tonight" doesn't save you

Most callers won't leave a voicemail. They hang up and ring the next name on Google, because their problem is happening now and your call-back is happening never, as far as they know. By 6pm they've booked someone. Worse, your evening call-back now interrupts their dinner, and you've somehow become the annoying one.

What to actually do about it

You can't answer the phone from a roof, and hiring someone to sit by it costs more than the problem.
