The best tradie apps, sorted by the job they actually do

Short answer: ServiceM8 or Tradify for job management, Xero for the books, SafetyCulture for site safety, and hipages if you need work this week (read the fine print on lead fees). Keep the total under five. One warning before the list: the most expensive gap in a tradie's phone has no app for it, and it's covered at the end.

Most lists of the best apps for tradies read like they were written by someone who has never sent an invoice from the front seat of a ute at 7pm. Fourteen apps, all rated four and a half stars, no opinion anywhere. Nobody on the tools has room in their week for fourteen apps. You have room for about four, so this list picks a winner per job and moves on.

Worth saying upfront: nobody on this list pays us or knows we exist. A couple of them loosely compete with what we sell, and they made the list anyway, because they're good.

Job management: ServiceM8 or Tradify

This is the app that runs a job once you've won it: quoting, scheduling, job cards, invoicing. ServiceM8 if your crew runs iPhones, because it's built tightly around Apple gear in the field. Tradify if you're mixed Android and Apple, with a strong following among Aussie and Kiwi trades. Bigger crew juggling projects and purchase orders? Look at simPRO or AroFlo, both Australian-built, and accept the heavier setup that comes with them.

The feature gap between the two front-runners is smaller than either's marketing suggests. What actually decides your outcome is whether the thing gets set up and kept up, and that question deserved its own article: ServiceM8 vs Tradify vs done-for-you.

The books: Xero

Xero is the default for Australian small business for a simple reason: your accountant already knows it, and both ServiceM8 and Tradify push invoices straight into it. MYOB does the job too if you're already on it and your accountant is happy. The rule either way is to pick one, connect it to your job management app, and never retype an invoice again. Every hour of double entry is an hour you're not billing.

Safety and compliance: SafetyCulture

SafetyCulture (you might know it as iAuditor) started out in Townsville and now runs on job sites worldwide. SWMS, inspections and incident reports all happen on your phone instead of a clipboard that lives under the passenger seat. HazardCo is a simpler alternative built around site-specific safety packs. If you've been putting the paperwork off, this category is the cheapest insurance you'll buy this year.

Finding work: hipages, with your eyes open

hipages and Airtasker will put enquiries in front of you this week, which is their whole appeal. Go in knowing the deal: you pay for leads whether they convert or not, and the same lead often goes to several other tradies at once, so you're racing them to the phone. That's fine as a top-up between word-of-mouth jobs. As your main source it gets expensive fast.

The job no app on this list does

Every app above organises work you've already won or paperwork you already owe. None of them answers your phone at 2pm while you're two hands deep in a switchboard. That job stays broken no matter how tidy your app folder looks, and it's the expensive one. The caller who gets your voicemail rings the next number in the search results, and the job, the repeat work and the referral all leave with them.

  • Count ruthlessly. A tradie app that hasn't earned its spot on your home screen within a month gets deleted, along with the subscription it came with.
  • Check the connections. Every app should talk to Xero or to your job management tool. An app that's an island just creates retyping, and retyping is where good systems go to die.
  • Ask who maintains it. If the answer is you, on a Sunday, be suspicious of your own optimism. Mine let me down for years before I started building systems that don't need it.
